Welcome to Part 3 of our How To series, covering potential pop-up pitfalls that could make or break your event.
After hundreds of events big and small, helping thousands of brands open shop, we’ve seen it all — long lines, unexpected weather, and even a few wardrobe malfunctions (for the mannequins, luckily). Whether it’s your first pop-up or you’re a seasoned pro, every event comes with its own set of challenges. But with the right planning and a few insider tips, you can avoid hiccups and keep your guests coming back for more.
Here’s a rundown of the most common pop-up problems — and some clever ways to solve them.
Long Lines & Wait Times
Problem: Long lines discourage attendees and may lead to walkouts.
Solution: Implement a virtual queue system where guests can sign up for time slots via an app, or offer exclusive perks for waiting, like free refreshments or surprise giveaways to keep them engaged.
Overcrowding
Problem: A packed space makes it difficult to shop or enjoy the event.
Solution: Use staggered entry times with pre-booked ticketing or offer VIP early-access tickets for a more relaxed experience. This helps maintain a steady flow without overwhelming the venue.
Limited Product Availability
Problem: Running out of key items or limited stock leaves attendees disappointed.
Solution: Tease limited-edition items and make it clear they’re available only in small quantities. For sold-out products, offer an on-the-spot pre-order option with a small discount for those who missed out.
Lack of Entertainment for Waiting Guests
Problem: Boredom while waiting can cause frustration.
Solution: Offer live entertainment such as a DJ, live performance, or interactive installations. Even a photo booth or branded game can create fun distractions and keep the crowd engaged.

Difficult Navigating the Space
Problem: Crowded areas make it hard for guests to move around comfortably.
Solution: Create a clear flow through the space by using signage or arrows on the floor to guide foot traffic. Interactive stations throughout the event will ensure guests spend time equally across all areas, not just at the entrance.

Not Enough Staff
Problem: Short-staffed events lead to poor customer service and frustrated guests.
Solution: Overstaff the event, especially during peak hours. Assign a team solely for answering questions and addressing concerns, while another group manages the queue and assists inside the pop-up.
Inefficient Checkouts
Problem: Slow checkout lines lead to long wait times.
Solution: Offer mobile POS systems and let staff members walk around with iPads to complete sales. For larger events, have multiple checkout stations to accommodate demand, and provide contactless payment for faster transactions.

Lack of Exclusive Experiences
Problem: Attendees expect more than just shopping.
Solution: Integrate exclusive, share-worthy experiences like a “design-your-own-product” station, private styling sessions, or on-site product customizations. These interactive features keep guests entertained and extend their time at the event.
Unclear Brand Messaging
Problem: Guests leave without a clear understanding of the brand or event purpose.
Solution: Ensure brand storytelling is woven into the design of the pop-up through visuals, displays, and staff conversations. Use QR codes that direct visitors to brand stories, behind-the-scenes videos, or product origins.
Unhappy Guests Leaving Empty-Handed
Problem: Guests who leave without making a purchase may feel disappointed.
Solution: Offer “exclusive access” vouchers to online stores for those who don’t find what they need, along with a discount code to encourage later purchases. This way, guests still feel like they’ve gotten value from attending, even if they didn’t buy something in-store.
